2. General operation



The following section is for the better understanding and coordination of the Management Console. The Management Console is the tool that enables any configuration, maintenance of master data, administration of organizational structure and even much more. In addition, it offers an overview of all reports regarding transactions, your cash- and stock management, employee time tracking, but also own contracts or invoice data.



NOTE: not every user is allowed to reach all menus and submenus, as the usability of the settings is or can be limited by the role and rights system of the RETAIL7 POS software. The roles and the corresponding rights are defined by the administrator, i.e. the person who has registered the system or who has been given the respective role. The administrator with their highest user rights and roles is created automatically after registration. With their highest rights, the administrator is able to create users for the management and other employees, with restricted rights and access. For this purpose, RETAIL7 offers the role options of Administrator, Store Manager and Cashier



After logging in and adding the Payment information, you will reach the user interface of your Management Console. This consists of three main areas.



Areas and functions of the Management Console

1. The Menü

The menu is located on the left side of your display - when closed, you can find its hamburger menu button in the upper left corner. It is displayed open by default, so you can see all the menu items with the help of which your RETAIL7 system can be set up according to your own ideas. After clicking on a menu item in the list, you can see the submenus (if any), and by clicking further, the detailed setting options with the available functions are displayed in the center of the Dashboard (area 3). 

The main menu offers the following functions:

  • Masterdata

    Items are the basis of a cash register. RETAIL7 offers the possibility of creating different types of articles, providing each with its own article ID for clear identification and assigning it to a selection group for systematic sorting. This means that the POS software from RETAIL7 can be optimally adapted and used in every sector without exception. 

    Besides the configuring options for every possible aspects of your items, item groups, item variants, item identifications and selection groups, here you can also find the management tools for the Media playlist, the Contact data of your customers, the Stock management, Promotions and Gift cards.

  • Time Tracking

    Since it´s important to be able to check and follow the number of hours worked for each employee, the time tracking function books the check-in and check-out times of everyone in every store. The check-ins and check-outs can be recorded via the RETAIL7 POS app, or in the Management Console directly.

  • Team calendar

    To ensure that the business runs smoothly, it is essential that shifts and other staff assignments are well planned and transparent. The Team Calendar section of the Management Console helps you to do this. Each employee is displayed in a separate column, and their schedules can be planned and displayed in hours/minutes details. In the header, you can choose which store´s schedule you would like to see, or to display a daily, weekly or monthly overview.

  • Reports

    For helping your business decisions, there are several report and journal possibilities in the RETAIL7 POS system. In the following tutorials, we will take a closer look at what type of different aggregations the system can create.

  • My Organization

    The RETAIL7 POS system is based on a tree structure. This can be created under the My Organization menu. Here we offer the possibility of creating an individual structure, which makes navigation through the system quicker and easier. In addition, settings can be assigned to each level individually.

  • Exports

    After a period of time, it is highly advised to export your data, even if it´s not officially obliged. For this, the Management Console offers three type of export options. If you want to use your master data in another system, you can download it here. For your tax advisor, you can give your transactions data with the help of Datev export, and you can also have a full retail transactions export from the document system.

  • System settings

    All system-relevant settings are made here, from screen layouts, printer use cases, import-export setup, tax group definitions and other detailed settings. Also, the special settings for hospitality industry type - such as table forms, floor plans or the reservation calendar - can also be found here.

  • Access rights

    Here you can define all rights and other settings for the users who has access to the system. Also, you can add your invoice and account details - without these, the RETAIL7 system cannot be used -, and create users with different type of assigned roles.

2. The User menu

The user menu is located in the upper right corner of the display. Here you will find all functions that have a direct control over the registered user. Relevant information about the account can also be accessed here. Furthermore, it is possible to start the Support Mode and to log out of the Management Console securely. The support mode is a function that gives the RETAIL7 team temporary access to the console. This enables our team to help as quickly as possible in the event of problems. For this, it is necessary that the cash register has an Internet connection. 

Some functions of the user menu are also accessible via Menu -> Access rights.



The user menu offers the following functionalities:

  • Support request

    In case of any problems according to the using or working with our software, RETAIL7 obtains a well organized support system. You can ask for help, send error description, and even get help remotely from us.

  • Invoices and account (payment data, invoice data, contracts with RETAIL7, licenses).

    All invoice-relevant data relating to the RETAIL7 POS software is available here. Please note that RETAIL7 system can only be used if the payment data is entered here first. After registration, you receive a license and can thus use the RETAIL7 app on one end device. Further licenses can be purchased via the Management Console in order to operate a customer display and/or another cash register on an additional device. This menu is also available from Menu -> Access rights.

  • Change password

    In case your password was compromised, it´s a very important safety function to be able to change it as soon as possible. You can reach this function quickly and easily from here (and from Menu -> Access rights)

  • Logout

    Logging out of the Management Console is always necessary to prevent third parties from accessing the data. In addition, it is not recommended to close the browser window without logging out first, otherwise it is possible that you are still logged in. Additionally, it is highly recommended to never write down or share to anyone your password.

3. The Dashboard


This area is located in the center of the Management Consol. After logging in, an overview of the most important reports created by the RETAIL7 system can be seen here. After the initial login, the reports are still empty; the reason for this is, that - since no cash register is connected to the console yet -, no transactions are registered in the system. However, as soon as you finish some transactions on the cash register, the reports are automatically created and displayed here. 




NOTE: The reports shown here are only a fragment of all the report and journal types and options you can get or create via the RETAIL7 system Management Console. For further info, see the Reports section.

The following reports are available on the Dashboard:

  • Live turnover

    The Live Turnover overview shows the turnover made in the last 30 minutes in real time, i.e. the turnover in this overview is moved further down the line as time progresses until it is no longer displayed after more than 30 minutes. This turnover is the total turnover from all tills connected to the Management Console. By purchasing another license, it is possible to configure another terminal via the same console.

  • Live transactions

    The Live Transactions overview displays the completed transactions for the last 30 minutes in real time, meaning that the transactions in this overview are moved further down the line as time progresses until they are no longer displayed after more than 30 minutes. These transactions are the total completed transactions from all tills connected to the Management Console. By purchasing another license, it is possible to configure another terminal via the same console. 

  • Turnover per Week

    The turnover per week overview shows the total turnover of the last 2 weeks in real time. After the period has expired, the turnover is no longer visible.

    This display also differs visually, as the green display shows the turnover of the last week and the blue display shows the turnover of the current week. Here, too, the turnover of all tills that are connected to the Management Console is displayed. By purchasing an additional licence, it is possible to configure another terminal via the same console.

  • Transactions per Week

    The overview of transactions per week shows the executed transactions of the last 2 weeks in real time. After the period has expired, the transactions are no longer visible. 

    This display also differs visually, as the gray display shows the transactions of the last week and the blue display shows the transactions of the current week. The transactions of all tills that are connected to the Management Console are also displayed here. By purchasing another licence, it is possible to configure another terminal via the same console.

  • Turnover (of the current and past years)

    The overview of the turnover of the current and past years shows the total turnover of the past years in real time. After the period has expired, the turnover is no longer visible.

    A circle is used to compare in which year the more turnover was achieved. In addition, a blue circle marks the current year and grey ones mark the past years.

  • Average total of receipt per Week

    The average receipt overview shows the average total of the generated receipts of the last week in real time. After the period has expired, the turnover is no longer visible. Visually, the average totals are marked in grey for last week and in blue for the current week. The average total includes all receipts from all tills that are connected to this Management Console.

  • All transactions (of the current and past years)

    The overview of the number of transactions shows how many transactions were carried out in the last and the current year. The current year is marked in blue and the previous years in grey. After the period has expired, the turnover is no longer visible. All transactions from all stores that are connected to this Management Console are summarized. 

  • Top 20 sold items (current year)

    The overview of the Top 20 sold items shows which articles were most frequently registered with the RETAIL7 POS software in the current year.

  • Top 20 item groups (current year)

    The overview of the Top 20 item groups indicates which article groups were most frequently cashed out with the RETAIL7 POS software in the current year. These statistics include all branches that are connected to this Management Console. By purchasing an additional license, it is possible to configure another terminal via the same console. In addition, information is provided on which items are the most popular.

  • Top Stores (current year)

    The Top Stores overview shows the revenue of the best performing stores in the current year, up to the current day. The overview based on all transactions of all stores that are connected to this Management Console.

  • Used tenders (current year)

    The overview of tenders used shows which means of payment was used in the current year. In addition, the overview provides information on the number and settled amount of the tenders. The overview includes all transactions with all stores that are connected to this Management Console. By purchasing another license, it is possible to configure another terminal via the same console.

  • Store period closure (current year)

    The Store period closure overview shows the results of the End of Day closings, both successful and unsuccessful, within the current year, with the exact timestamp of performance. The overview includes the closings of all stores that are connected to this Management Console.

  • Turnover yesterday per today

    The Turnover yesterday per today overview shows the total amount of sales, compared to the previous day. The overview includes all transactions of all stores that are connected to this Management Console.

  • Turnover per Month

    The Turnover per Month overview shows the total amount of sales, compared to the previous month. The overview includes all transactions of all stores that are connected to this Management Console.

Additional functions on the Dashboard



  • All the contact options of our support team

    When in need, you don´t have to loose time with searching for our contacts. You can find all relevant contact details on a tile, together with a link to our Frequently Asked Question section. If you would like to free up space, you can easily remove this tile, by closing it with the X in the upper right corner of the tile.

  • Licenses

    After payment data has been added in the Management Console, a POS license is obtained for one device. If you would like to use the RETAIL7 POS software on further devices (another POS app, or e.g. a customer display), additional licenses can be purchased here. Just click on the Select new device package link and choose from the wide range of options!

  • Favorites

    Do you have one or more menus and submenus that you use frequently, but are tired of having to click through several menu items over and over again to reach them? Why don´t you add them to this dashboard tile as favorites? For this, go to the menu and open the menu item you would like to add. At the upper edge of the working area, you can see the path from the dashboard to this menu item. At the end of the path there is a star icon - if you click on that, this path will be added to your Favorites tile as a direct link.





How to download data and documents from the RETAIL7 system



Several kind of data (e.g. reports, item lists, etc.) can be downloaded manually from the RETAIL7 sytem via the Management Console. However, for safety reasons, this is not a direct download, but an email with the desired attachment, sent to the email address you were registered within the system.



When you would like to download data from the RETAIL7 Management Console, click on the download button at the header of the respective report or item list. At the next step, you can choose between different file formats (CSV, XLSX, PDF and JSON - the available formats differ, depending on the document).






After you choose the proper one, the document will be sent as an attachment to the email address you are registered with.



In case the email will not arrive in a reasonable time, please check in the spam folder of your mailbox. Depending on the mail provider, the following settings can be used to avoid our e-mail landing in the spam folder. We have compiled the most important links for the various platforms here, or explain here exactly how the function can be turned off.



Google Mail:



With Gmail it is possible to easily add us to the whitelist.


  1. In the mailbox, go to the gear icon in the upper right corner.

  2. Open the settings there.

  3. Go to the Filters and Blocked Addresses tab and press Create new filter.

  4. Then enter our address [email protected] in the From field.

  5. At the bottom press on Create filter with these search criteria.

  6. Never dial to classify as spam.

  7. Save the filter.

From then on our emails can be received regularly in the correct place of your inbox.



GMX Mail:


  1. In the mailbox at the very bottom left click Settings.

  2. There you will find the Whitelist function, which must be selected.

  3. In the field that opens, enter our address [email protected].

  4. Then just save the new setting and all emails from us will end up in the General Inbox.




Yahoo Mail:



NOTE: In order to whitelist our email address at Yahoo, an email from us is required first. There may already be a mail from us in the spam folder after the installation. This comes from the following e-mail address: [email protected].


  1. Open the mail and click More in the bar of the email header.

  2. Then select Filter mail there.

  3. Give the filter an appropriate name.

  4. Then enter our e-mail address under Sender.

  5. Then select the inbox under Move Message and save the filter.

  6. From now on, all our future emails should end up correctly in the inbox folder.



Web.de:


  1. In the mailbox, go to Settings.

  2. Under the Folder section, click on the Filter Rules function.

  3. Next, select Move sender's email and write our email address [email protected] in the If field.

  4. In the Then field, select the appropriate folder where our mail should end up in the future.

  5. With one click on Set up filter rule save the filter and our mails will not end up in the spam folder anymore.



Apple Support:


  1. In the mailbox, under Mail in the main menu, select Settings.

  2. After that a window opens. In this window, under the Rules tab, select the Add rule function.

  3. Then in the next field enter a name for the rule.

  4. Upon fulfillment (...) of the following conditions then select all.

  5. Then select From and Contains.

  6. Then press in the field next to Contains and enter the e-mail address [email protected] there.

  7. In the bottom line select Move message and select inbox.

  8. Then save the settings with the OK button.




Outlook:

NOTE: In Outlook, a mail from us is needed first, which may already be in the spam folder. For example, our welcome mail after setting up your RETAIL7 system, which is sent from [email protected].


  1. Open the mail. For the 2007 version, then click on Safe Address Lists in the email header.

  2. Select Add the sender's domain to the Safe Senders List.



If the Outlook version is from 2010/2013 or later, just click on the Junk email folder and select Never block sender there. Our mails no longer end up in the spam folder.
