4.7 Gift cards

With gift cards, a digital credit can be loaded on a card. In addition, there are partial redemption, reload and return options. With the help of these settings, the gift cards can be configured. Customers can purchase the cards and give them away.

Gift cards

1 Import gift card

  1. Click Import.

  2. Place a file per in the import window via Drag & Drop.

  3. Select a desired import option.

  4. Set your own scheme.

  5. Click on Import.

4.6.1.1 Add gift cards

In RETAIL7 it is possible to create gift cards, and in addition, it is possible to create them individually, or in bulk. Based on the card ID, each card receives an individual number, to avoid any confusion. Based on this ID, a card can be filtered out by the search function.

  1. Open the menu → Master data → Gift cards → open Gift cards.

  2. Click Add.

  3. Enter a card ID.

The ID may only consist of numbers. Thus, in this case, there is no combination of letters and numbers possible. In addition, a card is given an individual sequence of numbers so that there are no repetitions.

4. Set the desired currency.

The currency is based on the currency of the country where the store is located. The store location is set up during the app installation.

5. Define the nominal value of the gift card.

This value indicates the amount of credit that will be loaded onto the gift card. If the function is activated, it is also possible to top up the credit again and again. Otherwise, the card can no longer be used after the credit is used up.

6. Set the maximum charge.

The value of the maximum recharge must be higher than the nominal value. For example, if the maximum recharge is 50€, it is not possible to recharge a balance of 60€ on the card. However, it is possible to load a balance below 50€.

7. Define the card status as for sale

There are the statuses Redeemable, Closed, On Sale.

  • Redeemable means that the gift card can be registered or redeemed via a RETAIL7 POS system after purchase.

  • Closed means that the card cannot be redeemed via the system, for example because it has been lost by the customer.

  • For sale in this case means that the has already been sold.

8. Check all the desired parameters.

  • Allow return means that the gift card can be returned after purchase via the RETAIL7 system.

  • With the Reload function, it is possible to load credit onto the card again and again.

  • With the setting Partial redemption it is possible that only a part of the credit is consumed via a transaction. For example, the credit is 30€ and you spend only 5€ of it, i.e. 25€ are still available for this voucher card.

9. Set a sales limit.

Here you can specify in which country the gift card can be redeemed. In all countries that are not mentioned here, the card can not be sold.

10. Define the redemption limit.

Here you can set how many card can be redeemed. After the limit is reached, it is not possible to redeem more gift cards.

11. Specify the time limit.

Only in this period it is possible to redeem the gift card. If the period has expired, the defined card can no longer be redeemed.

12. Click Save.

4.6.1.2 Edit and delete gift cards

With RETAIL7, gift cards can be configured or deleted at any time. This means that the system always remains up to date, as gift cards that are no longer required are deleted. After the desired cards have been edited, the changes must be saved, otherwise the information will be lost.

Editing a gift card:

  1. Select the desired gift card from the list.

  2. Click on Edit.

  3. Make all the desired changes.

  4. Click Save.

Deleting a gift card:

  1. Select the desired gift card from the list.

  2. Click Delete.

  3. Confirm the dialog prompt with Yes.

Click No to cancel the deletion process.

4.6.1.3 Block gift cards

RETAIL7 offers the possibility to block gift cards. This process may be necessary for various reasons. This reason must be specified for each blocking.

  1. Open the Gift cards list

  2. Select the desired gift card from the list.

  3. Click Lock.

  4. Provide a reason why the gift card should be blocked.

  • Default

  • Lost card - The gift card was lost after it was purchased.

  • Stolen card - The gift card was stolen after it was purchased.

  • Card Faulty - The gift card cannot be redeemed due to an error.

  • Suspected fraud - The gift card was obtained illegally and is to be redeemed.

  • Training - The card was used for training purposes.

  • Other - not defined

4. Confirm the action.

Click Cancel so that the card is not blocked.

4.6.1.4 Bulk creating gift cards

With this function it is possible to create directly several gift cards in series. In this case the cards get ascending numbers, which can be defined at Prefix Start. Thus, for example, the start is at 5 and ends at 10. In the example, the cards 5 -10 are created.

  1. Open the menu → Master data → Gift card → Open Gift card.

  2. Click on Bulk creation.

  3. Specify prefix start and end.

Prefix Start specifies with which numbering the card ID starts. All subsequent cards follow this numbering. For example, the start is at 8, which means that in this case the first card gets the ID 8 and the second the ID 9.

4. Define the ID length.

The ID determines how long the number of the card ID may be. The length must be at least one. For example, if 2 is defined, it is possible that the card ID is 01.

5. Set the number of gift cards.

With the stacking function, multiple gift cards can be created with one configuration. Any number of gift cards can be defined here. Each card receives its own ID, which is assigned in ascending order with the prefix Start.

15. Specify the time limit.

Only during this period it is possible to redeem the gift card. After the period has expired, the card can no longer be redeemed and the remaining balance is thus forfeited.

16. Click OK.

Each gift card created using the batch function is displayed as a single item in the list with descending card ID.

4.6.2 Gift card management

1 Download the list of giftcard operations

  1. Click on Download

  2. Choose your desired file format (csv, json or xlsx)

  3. Open your e-mail with the attached file

  1. Click on Update.

  2. Wait until the loading of the list is finished.

  1. Enter the desired search term in the search.

  2. Click on the magnifying glass.

  3. Waiting for the result and select the desired item.

Under 3 you can see how many elements were found out of the total number.

5 Information about gift cards

4.6.2.1 View and edit gift cards

Gift cards can only be edited if the redemption period has not yet been reached. Otherwise, they will only be displayed and no changes can be made. When the cards are configured, it is important to save again afterwards, otherwise the information will be lost.

  1. Open the menu → Master data → Gift cards → Gift cards.

  2. Select the desired gift card from the list.

  3. Click on Edit.

  4. Execute changes.

  5. Click Save.
